I’m working on a hospitality writing question and need guidance to help me study.

This needs to be a stand-alone festival (not an event that is a part of a bigger program). If you especially want to do an international event (not held in the US), please ask ahead of time so it may be approved. Some of these international events are excellent but maybe more difficult to decipher due to language issues. State Fairs are especially good targets, as the information is generally readily available. Film Festivals and awards festivals are fine but will require more digging to get the multiple additional events included as a spin-off of them (The Governor’s Ball and many parties before and after the Academy Awards, for instance.)

Estimated attendance
Dates (this may be 2019 activities since so much has been canceled at this point for 2020) and times
Composition:
List all entertainment – not just music, and if it is presented multiple times
Approximately how many food stalls are available (this may need to be estimated by a map of the event if a listing is not given)?
Approximately how many beverage stalls are available?
Is alcohol permitted? Everywhere, or with consumption restrictions?
Children’s Activities – what are they?
Competitions and Awards – a comprehensive listing

Demonstrations

Special Attractions (parades, rides, fireworks, jousting, etc.)
Any additional notable information? (years held, items they are especially known for, etc.)
Experiential marketing, micro-events, additional services offered to attendees
Sponsors – who, and what levels is the event noting (gold, silver, etc.)?
Facilities needed (type and number of each; of note are any specialized facilities) – include buildings, tents, parking lots, camping areas, etc.
Prices and promotions – are there additional costs for additional events once a person has entered? Is there any broadcast of any events?
Target Audience (this may be splintered, as one sort of entertainment or event may attract one group, something else another demographic – what is done for which clientele?)
Is the leadership listed? What are their titles (individual names not necessary, but titles give an idea of the structure they are operating)?
How does the presentation of this event affect the local community/economy?
What are their plans or results for 2020?
You may use this outline and simply fill in answers, but the answers need to be complete (not: Children’s activities – “yes”). Grading will be on the thoroughness of your report, so be complete in your summary.

Purpose: This is a wrap-up of all items covered in the course, and should demonstrate your ability to think in terms of a festival producer, not an attendee. Thoroughness is critical in assessing a festival (imagine you were being considered as producer; you’d want to know everything you could glean about it).
